The Terrace Lodge Redevelopment Steering Committee meeting was held on Tuesday, March
10, 2020 in the Elgin County Administrative Boardroom.

Chairman Purcell called meeting to order at 1:00 pm.
Discussion
1. Review of Minutes

1.1. Steering Committee January 28 Minutes Reviewed and accepted.

1.2. Fundraising Committee February 12 Minutes Reviewed and accepted.
1.3. Fundraising Committee Activities Update Chair of Terrace Lodge Fundraising
Committee (Dominique Giguère) overview of Fundraising Committee activities
and strategy. Fundraising target is $750,000 over 3 years. Campaign to be
catalogue driven. Next steps include finalizing budget and plan, contracting
professional services, creating an online platform, forming a complete committee,
designing and printing materials, and organizing a kick-off event (to be
coordinated with project start date). Fundraising report received and filed. SC
supports fundraising plan.
2. Schedule

2.1. Project Schedule March 4 Schedule reviewed and accepted.
2.2. Start Date Temporary sitework to begin ahead of schedule (22 June 2020).
2.3. Building Permit Application Submitted 10 February 2020.
2.4. MLTC Development Agreement Received 14 February 2020.
2.5. MLTC Working Drawings Submission Submitted 11 February 2020.
2.6.Issued for Bid Targeting 17 March 2020. SC approval required by end of May
for D. Grant to proceed with preliminary sitework.
3. Construction Manager
3.1. Class B Construction Budget Draft received from D. Grant 27 February 2020.
4. Budget
4.1. Escalation Allowance 7.5% escalation to be used for separate price (SP) items,
if Bids come in under budget. Priority of SP items are as follows:
1. Staff Change Rooms
2. New Chapel ceiling & lights
3. Gift Shop
4. Pool Change Room
4.2. Replacement Reserve Items below to be reviewed and reintroduced as needed.
1. Concrete at ADP
2. Skylight above Foyer
3. Updates to main entrance including bollards/planters
4. Roof repairs (pending results of scan)
5. Authorities Having Jurisdiction (AHJ)
5.1. SW Public Health Letter of review and approval received 19 February 2020.
6. Functional Program, Operational, Transitional Plans
6.1. Operational Plan Updated and submitted to MLTC 14 February 2020.
7. Next Meetings
7.1. Steering Committee Meeting 26 May 2020 1pm Elgin County HQ
7.2. Construction Committee to be formed
7.3. SC to continue, but only receive PM monthly reports.
